Job Summary

As the Executive Assistant to the SVP/GM of Cloud Storage in the Engineering/Product organization, you will play a pivotal role in providing high-level administrative support to the executive. This position requires a dynamic and highly organized individual capable of managing a wide range of responsibilities including; complex calendar management, strong top-level communication, precise travel coordination both domestic and international, offsite/event preparation, and interdepartmental collaboration. The successful candidate will possess exceptional interpersonal skills, discretion, attention to detail, works effectively with cross-functional teams, and thrives in a fast-paced setting that is constantly evolving. This position will report directly into SVP/GM Cloud Storage.

Key Responsibilities

•    Manage SVP complex calendar, schedule meetings, events, and travel arrangements, exercising discretion and efficiency.
•    Anticipate SVP needs and act proactively to assemble the appropriate changes.  Proactively identify and resolve scheduling conflicts in advance.
•    Coordinate and partner with Chief of Staff to help drive rhythm of business to ensure top level support of SVP and priorities are met.
•    Oversee complex global travel plans across multiple time-zones, compile travel-related documents, and coordinate travel-related meetings and itineraries.
•    Field incoming requests and communicate effectively with the appropriate people and resources to solve problems.
•    Ability to actively manage tasks in a fast-moving, high-pressure environment with grace and flexibility.
•    Coordinate with Cloud Storage Engineering and Product Management teams to implement new processes.
•    Support SVP logistics coordination for internal events, offsites, and department meetings.
•    Exchange information effectively and liaise with other executive administrative staff to plan meetings effectively and ensure the success of team meetings or events.
•    Prepare and manage expense reports.

Key Qualifications

•    Experience with C-Level executive calendar management.
•    10-15 years of relevant experience in high-tech, providing VP-level or higher administrative support (with the last 5 years supporting SVP or higher).
•    Ability to complete tasks quickly with little or no guidance in a highly ambiguous environment with the appropriate urgency.
•    Superior written and verbal communication skills, ability to work cross functionally to ensure communication is clear between teams.
•    Ability to collaborate with employees at all levels, including senior leaders, customers, vendors, and visitors.
•    Extraordinary attention to detail, prioritization, and deadline management.
•    Ability to be flexible in response to a considerable number of changing priorities and needs
•    Demonstrates high level of integrity and ability to maintain confidentiality and earn trust internally and externally.
•    Proficiency in Microsoft Office suite, particularly PowerPoint, Excel, and Outlook.
•    Experience as Lead EA for organizations.  Ability to lead, mentor, collaborate, and share information to operate as consistently as possible within the organization.
•    Bachelor's degree preferred.
