Title: Workplace Portfolio Planning & Operations
San Jose, CA, US, 95128
Job Summary
Workplace Experience (WX) manages a global portfolio that must balance cost, capacity, employee needs, business growth, and changing ways of working. The Workplace Portfolio Planning & Operations role will help WX and executive leaders see the full picture, enable data-driven strategy and make more informed portfolio decisions.
The role brings together data, business inputs, and portfolio activity into a clear view of performance, risks, and choices. In partnership with WX leaders and cross-functional teams, this person helps develop portfolio strategy and plans, improves how the team operates, and keeps major priorities moving.
This role is a hybrid role and the candidate is expected to be in the office at least 3 days per week (39 days per fiscal quarter).
What You'll Do
Workplace Dashboards and Decision Support
- Create a clear, reliable view of the global WX portfolio across cost, utilization, capacity, workforce, footprint, projects, and key external benchmarks. Use that view to help leaders understand what is changing, where attention is needed, and what choices are available.
- Turn complex data and business inputs into forecasts, scenarios, and recommendations. Partner with WX leaders as they develop portfolio strategy, priorities, and plans for initiatives such as Thrive Together, flexible workspace, and engineering hubs.
- Set the standards for portfolio analysis and reporting, including the data needed, the questions to answer, and the measures that matter. Make complex findings clear and useful for leadership discussions.
Portfolio Management and Performance
- Build and maintain the portfolio dashboard, reporting, and KPI framework that gives WX leadership a common view of performance, progress, risks, and dependencies.
- Help leaders use metrics and benchmarks to set expectations, assess results, and make course corrections. Improve the quality and consistency of portfolio data over time.
- Track the work that matters most across the portfolio, including major initiatives, milestones, decisions, risks, and interdependencies, so leaders can focus on the issues that need action.
Business Partnership and Knowledge Management
- Build a practical planning rhythm with HR, Finance, SAS, Sustainability, GTM, Engineering, and regional teams. Bring together hiring plans, location needs, office-use expectations, growth or reduction plans, and workforce changes that affect workplace decisions.
- Create a more organized and trusted set of portfolio documents, data, and shared assets. Establish clear ownership and simple standards so teams can find current information and use it with confidence.
- Improve the team’s ability to use AI and automation by strengthening the structure, quality, and accessibility of portfolio information.
Operating Rhythm and Cross-Functional Delivery
- Run a consistent portfolio operating rhythm through business reviews, planning checkpoints, leadership updates, and follow-up. Give teams and leaders clarity on decisions, owners, timing, risks, and next steps.
- Lead or support cross-functional projects that improve how WX plans and operates, including spend and budget analysis, lease analysis, process improvements, and policy or process changes.
- Work through complex, ambiguous issues independently and bring leaders clear options when there are trade-offs. Influence partners across functions to keep important work aligned and moving forward.
What You Bring
- 12+ years of experience in analytics, strategy and operations, portfolio management, program management, workplace operations, real estate or a related field.
- Strong experience with analytics, dashboards, KPIs, forecasting, reporting, and performance management.
- Experience with Tableau, Power BI, IWMS platforms, or similar enterprise tools.
- Experience working with incomplete or complex data and using it to inform business decisions.
- Experience using or scaling AI-enabled analysis, forecasting, automation, or knowledge tools in an operations environment.
- A track record of leading cross-functional work and influencing senior stakeholders without direct authority.
- Clear written and verbal communication skills; able to explain complex analysis in plain language.
- Comfort working in a global, matrixed environment where priorities and inputs can change quickly.
- Workplace operations, corporate real estate, space planning, or lease-management experience is a plus
What Set You Apart
- You can bring together different data points, perspectives, and business needs to give leaders a practical view of the portfolio.
- You use data to help people make decisions—not just to report what happened.
- You create enough structure to keep complex work moving without adding unnecessary process.
- You build trust across teams and follow through on the details that turn decisions into action.
- You can step back to see the broader business question while still knowing how to get the work done.
