Job Summary

The Executive Assistant to the SVP and Chief Marketing Officer (CMO) plays a critical part in enhancing productivity for the CMO with broad responsibilities working in NetApp Marketing’s fast-paced and dynamic environment. The EA’s focus is to skillfully manage a broad array of projects and tasks while providing administration support to the leader. The role requires independence as well as teamwork, a willingness to pitch in and help. 

  • Serve as the face of the executive to the organization and work across NetApp on behalf of the leader (with other EAs).  Must possess strong executive presence. The candidate will both understand the nuances of customer etiquette as well as how to thoughtfully manage internal stakeholders and partners.
  • Ability to anticipate the executive’s needs and proactively bring together appropriate people and resources to support the executive in both opportunities and challenges.
  • Manage the daily schedule of the executive, ensuring that she knows her schedule 24 hours in advance and keeping appointments and meetings on time or changing schedules when necessary.
  • Schedule and help produce executive’s meetings including all details (meals, TP and Webex requirements, agendas, meeting/session coordination)
  • Managing contacts for executive, proactively understanding who they are, which are priority contacts and keeping track of periodic communication needed for priority contacts.
  • Manage and book executive travel. Proactively coordinate the pre-planning of trips with various internal functions, including agendas and necessary contacts, information, Adobe marketing materials and other necessary preparations.
  • Partner and collaborate in close partnership with Chief of Staff and Executive Communications Lead to maintain Office of CMO management system including requests, calendar, communications and governance in alignment to Marketing strategy and goals.
  • This candidate will also play an important role in creating and managing offsite meetings, regular all hands meetings, team social events, including team member arrangements such as hotel, transportation, meals, meeting/session coordination.
  • Develop and maintain a system that alerts to upcoming deadlines on incoming request or events.
  • Handle issues and projects of a confidential nature related to employees, legal matters, and company confidential information with discretion
  • Participates as a contributing member the corporate admin team. Provide back up support for other admins; participate in regular admin meetings; assist remote admins with set up of local meetings, travel planning, etc.
  • Ensure that various administrative tasks are done in an effective and efficient manner, including org chart updates, copying, drafting correspondence, screening phone calls when requested and maintaining executive files as needed.
  • Process and maintain expenses for executive.

  • Strong knowledge of MS Suite (Outlook, Word, Excel and PowerPoint) and videoconferencing (WebEx/Telepresence) and ability to learn new technology tools quickly.
  • Ability to accurately capture notes and action items in VP’s staff meeting for distribution and follow up.
  • Project Management skills/ability to prioritize work and balance several work streams at a time. 
  • Ability to stay focused, flexible, efficient, and effective in managing multiple priorities and tight deadlines with grace and poise
  • Experience and confidence in independent problem resolution and decision making.
  • Strong interpersonal skills and good judgment.
  • Exceptional ethical standards, humility, empathy, sense of humor and ability to work with diverse personalities
  • Reliable and accessible. Available in the office during normal working hours and available out of hours, as needed
  • Experience working with global teams




Typically requires a Bachelor’s degree and a minimum of 2 years of related experience; or an advanced degree without experience; or equivalent work experience.
